MINUTES OF DIRECTORS MEETING. Meeting held on Monday 06th February 2017 - 12.00 pm at Don Cayo Golf. Present: Wolfgang Fischer (President), Antonio Perez Albiñana (Vice President ES), Richard Kent (Treasurer), Terry Miles (Web coordinator), Sonata Lungmus, Emil Apeldoorn, Willem van Oorde (acting minute taker) Apologies for absence – Francisco Javier Gomez, Matthew King (Secretary), Annetta Eberhardt (NW coordinator), John Schimell. 1). The Minutes of meeting held 05/12/2016 were approved. 2. Treasurers Report. RK stated that he had received a letter from the Banco Sabadell announcing that bank charges would be levied at the current rate of Euro 12 per quarter. The way-out clause is to object after the event and we would then be reimbursed. All agreed it was not material. Further to last meetings announcement regarding non-payment of annual buzon fees, RK confirmed that 18 boxes have now had their locks replaced. 3. Secretary’s Report (MK’s absence meant that the report is taken from the agenda) viz……. 278 Current Member. There were 111 replies from members after The AGM…having specifically asked everyone to respond so one can only assume we end up in Junk Mail, people don’t understand Spanish or English or they cannot be bothered. Frustrating but it is what it is – ideas?? It was suggested that most of the 111 replies were probably from couples, resulting in a revised total of around 220 responses, which in turn would mean that only about 50 were missing. It was agreed that there was not much more that the committee could do. The idea of offering a WhatsApp link was floated again. Suggested that this be followed up once Matt (MK) was fully recovered. 4. Vecinos Website. Terry reported that the www was moving along nicely. He will post the agenda and minutes – of both the AGM and the Director’s meetings - but will leave out the financial information contained within Director’s meetings. The status of the water has also been published on the webpage. It was noted (emphasised) that Aporbersa water supplies were not tainted since they come from a different source. During this section reference was made to the recent storm damage. A letter has been sent by the Ayuntamiento with the following advice: if one has been affected by storm damage one should report it to the Ayuntamiento, and they will deal with it. One needs to go to the ground floor of the Ayunamiento building to report the damage. It seems that this facility will close at the start of week commencing 13th Feb. The Ayuntamiento has created a WhatsApp account. By accessing the Altea.es webpage and dialing - 673170140 - one can access the App and get updated information and reports on the storm damage status. Terry said that his wife would try it out and let us know. 5. NHW update. As Annette was absent this section was passed over. 6. Other business. 1) The issue with the lighting for the buzones: the President extended his thanks for the very professional report submitted by RK and TM. TM gave a brief resume of the report, highlighting all the technical issues and the reason for having to overhaul the system. In the meantime he has received a quote from the electrician – VALLS s.l., with whom members have dealt with in the past and who has, by all accounts, an excellent reputation. VALLS is certified to work in public areas (the Correos denotes the buzon area as being public). Valls would also issue a certificate. The quotation for the total job is Euro 763. Questions relating to details in the quote were satisfactorily dealt with and it was unanimously approved. TM was to ask for confirmation of the battery specification. 2) With regard to the cleaning of the buzones, it was agreed that the cleaner should be paid Euro 375. 3) Current water situation: drinking water throughout the Urbanizacion is fine. As far as requesting regular water quality updates from the supplier is concerned, it was noted that the Aporbersa would only notify customers if there was an issue. If any individual member would like a water quality update they should personally visit the Aporbersa offices. 4) Fire Protection Status: the website reports the current situation with regard to the cutting of trees, which has been funded by the regional authority, to the tune of Euro 50k. Iberdrola have also deployed a team of cutters – namely to make fire breaks around the main both steel and concrete) pylons. The question was raised as to whether the committee should call for another meeting with the Ayuntamiento/Fire Brigade. The consensus was that both seemed to be active now - viz tree cutting and fire breaks. With regard to strategically placed automatic water towers/sensors/sprays, it was noted that this had not been initiated - apparently a very expensive exercise. TM concerned that people not cutting trees on their borders, hence increasing the risk of fire jumping from one property to the next. The point was made that a permit was required in order to cut trees on one’s property. It was agreed to make this subject a point forward - and to address it at next meeting with Ayuntamiento. 5) Traffic Conditions: for an up to date report on the state of the roads/traffic (resulting from storm damage) it was suggested that one need only go to the Altea.es webpage and make the WhatsApp link, as referred to in point 4 of the minutes. One can then get instantaneous updates. 7. Instancias The open instancia, referred to in point 6 (e) of the Agenda should read “Calle Rosa” and not “Calle Jasmin”. Apparently the owner was not able to leave the house because the flood water level was too high. There appears to be no drain. TM suggested that a pipe was needed to drain off the water. The offending house gets visited very rarely - owner died and children cannot agree what to do. It was agreed to make this a point forward for the next meeting with the Ayuntamiento. The situation with rubbish (basura) including garden rubbish was brought up again. It was noted that the Ayuntamiento had promised to reorganise – as from 2017 - the manner in which rubbish is collected. This is a point forward to the next meeting with the Ayuntamiento. 8. Next meetings: 20th March 15th May 26th June Summer party date was suggested to be 30th June. This will be confirmed at next meeting. . Meeting was concluded at 13.15.
