MINUTES OF DIRECTORS MEETING. Meeting held on MONDAY 12th MARCH 2018 – 11.30PM at Don Cayo Golf. Present: Wolfgang Fischer (President), Antonio Perez Albiñana (Vice President ES), Richard Kent (Treasurer), Matthew King (Secretary), Terry Miles (Web coordinator), Annetta Eberhardt (NHW coordinator), James Standen, Emil Apeldoorn, Willem Van Oorde, John Schimell Apologies for absence : Javier Gomez Devisa, 1). The Minutes of meeting held 12/02/2018 were approved. 2. Treasurers Report. MK remarked that he thought that the Fee’s submitted by Paco Alcarez where high given a). That the lists are incorrect and lacking Information and b). with the reduction in numbers of Buzon Owners after the Postal changeover, we will be over 90 post-boxes down (€1800.00 Revenue). No Action was decided at this meeting as the topic wasn’t completed due to other business. To be discussed at the next meeting. 3. Secretary’s Report. MK reported that he is receiving a lot of messages from “concerned“ Buzon owners regarding their mail and what may happen. He is waiting for today’s meeting before he updates everyone so that the Committee is aware first of the proceedings with the Post Office (see below). After clearing out “old members” who no longer reside at their residences we went down to approximately 220 members. Now with the problems of the Post Boxes and his many communications to Post Box Owners we are back up to 252 members. Members are being kept updated on a regular basis with the Post Box issues with Google translated letters going out in Spanish English German Dutch and French. 4. Vecinos Website. Working well and getting “regular hits”. TM updating the website regularly. 5. NHW update. System operating Well and AF reported that the Crime rate is now its lowest for many years – Due to, we believe, extra vigilance by the Guardia Civil and the Policia Local – more road stops and presence in the area. TM asked why after 2 years there were still no signs around the streets by NHW. AF said that she did not know – she was still “waiting” for the Ayuntamiento. WF said that if the signs had not been put up by this Summer – we The Avsa would manufacture and put up signs. 6. Other business. 1). POST BOXES. MK explained that via the various sub-committee meetings involving RK, AP, TM, JG, himself and latterly WF, and with meeting Heli Navaro the Postmaster for the Altea area that Correos has confirmed that the Postal Service would be saved at the Buzons in Avenida Principal for the “exclusive use” of the Residents in Sierra Altea 1 up to and including Avenida Principal 114. It means that whilst we will keep our addresses there are some 90 boxes that will not because they are “out of our designated area”. It was decided by Correos that they would not allow the “bungalows” on Don Cayo Golf Course to continue at our Buzons and that they needed a separate Buzon to be provided by The Administrator of the boxes Didac Barber, who I have written to but as yet had no response. There are still many issues to “iron out” especially as it has not been possible to contact all of the occupants of the boxes: even today we have an incorrect address of one of our own committee members from old records. This was explained in our meeting with Heli Navaro and as a consequence we believe there to be a “time allowance” to sort out all of the changes needed and make contact with all the people concerned. We have been given until 1st October. In this time we can order 300 locks (300 only needed now as spares will be installed into the boxes as not all boxes will be used) and have time to replace them. MK anticipates that approximately 177 boxes will be used after the change-over and with the suggested spaces for “additional new residents” to the area after each road (we have 32 roads in our zone), we will have just the right amount needed to accommodate our existing Buzon users within our area. MK to draw and set out a mock plan on paper for the Buzons and the new addresses and show the committee how the new buzons will look. It is proposed that once TM has sourced the price for the locks (manufactured in Spain) and negotiated a price, the locks will arrive and a working party of MK, JG and TM will systematically change the locks over a period of 1 week. During this time the post for the Buzons will be stored by Correos and once re- opened the Buzons will run on the new scheme with numbers only on the front of the box but addresses clearly indicated on the back of the boxes to aid Correos deliveries. It was suggested by MK that we source bigger numbers for the front of the boxes a). to make them more legible and b). by fixing them with rivets to the fronts of the boxes, would make the door stronger. MK felt a “responsibility” for those who were in other areas outside Sierra Altea 1 who only had the postal service to keep in contact with their Banks and personal correspondence who, (some of them have been living here for 40+ years with only the Buzons as communication – no e-mail or computer). WF said he would make sure as far as it was possible to make sure the Ayuntamiento and Correos was aware of their problem and wherever possible make sure that more Buzons were built as informed by the Ayuntamiento. 2). TM brought up the problem of lack of speed signs in the area and everyone agreed that speeding was a big problem in the area. As Maria Lavios was unwell and could not attend the meeting, WF AP and MK would have a meeting with her as soon as possible to discuss all of the above and the other “Community Issues”. We need more signs around regarding speed limits. WF also pointed out that he has raised Instancias previously and would re-issue again regarding this complicated problem. 3). Processionary Caterpillars –These seem to be a bigger problem at the moment than the last few years. Nature’s way of dealing with them was wiped out after hunters killed their native predator the Cuckoo and now spraying seems the only way – The Ayuntamiento used to do it but that seems to have disappeared in the last few years. This issue will be brought up when we meet with Marie Lavios. There being no other business the meeting closed at 12.50 MONDAY 23RD APRIL 2018 MONDAY 21st MAY 2018 MJK 12/03/18
