MINUTES OF DIRECTORS MEETING. Meeting held on MONDAY 21ST MAY 2018 – 12.45 PM at COMMUNITY CENTRE ALTEA LA VELLA Present: Wolfgang Fischer (President), Antonio Perez Albiñana (Vice President ES), Richard Kent (Treasurer), Matthew King (Secretary), Terry Miles (Web coordinator), Annetta Eberhardt (NHW coordinator), John Schimell, Willem Van Oorde, James Standen, Apologies for absence : Emil Apeldoorn, Javier Gomez Devisa, 1). The Minutes of meeting held 24/04/2018 were approved. 2. Treasurers Report. Money has been taken from the deposit account, for payment of the Locks (15.00 Euro each 4,500 deposit paid 2,250 euros) and we are now awaiting receipt of the 300 locks. Further issues regarding New Payments for the Buzons will be covered elsewhere in the Agenda. A meeting is to be arranged by RK, MK and APA with Paco Alcarez regarding his fees and new administration of boxes. RK has been asked by Paco Alcarez what should be done if someone wanted a refund on their annual Buzon money as some leaving their boxes have asked. It was discussed and after voting a unanimous decision was made to give NO refund. ¾’s of the year will have already been taken by this time and no one felt returning 5 euros would be just too difficult for the value. 3. Secretary’s Report. MK reported that there are currently 257 members on the current list – However currently 4 have sold or are waiting to be sold: 19 are non-contactable and 2 are out of our neighbourhood. MK will prepare a list and ask “Neighbours nearest” to try their doors and find out the situation regarding contact details. This means that we have 234 “Active Members of the association in reality. MK continues to pass on the email addresses to Kees Hilgers in Urlisa 1 and II that he receives from outside the area Sierra Altea 1 area. 4. Vecinos Website. Working well and getting “regular hits”. TM regularly updates but has changed the formatting recently which takes considerable time and effort which we all greatly appreciate. He explained that certain material was not permitted onto the website as it breached Privacy Controls so he makes a point of reading everything given to him for the website. Membership forms working well: he has updated the software systems and controls. He has requested a list of the roads in our Urbanisation to clarify the area on the website – MK has now sent the list. 5. NHW update. NHW is awaiting street signs that will be installed OVER the old signs in Catalan, Valenciano, English and German. . AE assured all that this was “Still in Progress” and would be ready as soon as possible. AE reported that up until last week and as far as she knew – and due to the generosity of free flowing Coca Cola and Water at her last Guardia Civil Meeting – that Burglaries in the whole area were down. We hope this will be the trend this year as the Vecinos Co-operandi and the neighbourhood watch app seems to work very well. 6. Other business. 1). POST BOXES. MK reported that the majority of Buzon Owners Outside our area have accepted the situation with their Buzons and are awaiting New Buzon positions out of area. WF APA RK and MK attended a meeting at the Ayuntamiento on Friday 18/05/2018 with Marie Lavios to discuss these new boxes for the owners in Urlisa 1 and II. She says that the Ayuntamiento are looking for sites and that they hope to have the boxes up before October 1st. With regard to our Sierra Altea 1 area MK has ordered 300No. locks (type 102 the same as the existing one) MK and TM managed to negotiate a price reduction of approx. . .80cents per lock: saving the Association around 240Euros. MK has already printed off all of the road names on a DYMO tape ready for fitting inside and behind the Buzons for Correos. We need to source 600 coloured plastic key rings to go with each key and also to store the old ones (2 keys per lock). The suggestion is to tape and mark all the old removed locks and keep them in separate bags to be re- used if and when necessary. The committee discussed the cost to the membership of changing the locks as there is a considerable cost in doing so. The Labour is free of charge and a working party comprising of MK, TM, JGD, and others who have some time will change the locks on a designated week once all the tooling and methods are sorted. We need to order 300 consecutive number plates for the doors (for the outsides) and a suitable amount of drills are required to take of the numbers. It is presumed that this will occur sometime in September. The majority felt that there was no problem in making a one off “cost only” charge once the new keys were received by their owners. The method put forward by MK was to put all new keys in envelopes and leave them at Paco Alcarez after they had been fitted with the payment being collected by Alcarez. (No doubt we will incur a charge for this service but necessary as it makes it official – my view only). The cost would likely be around 25Euros (including Alcarez fees). 2). Refund of Post Box Money – See Treasurers Report. 3). Summer Party. Due to the problems involving the Golf Course Don Cayo and the outgoing Restaurant Owners, it has been decided that we will look for other places to hold the party this year other than the Golf Club. WF has asked several restaurants for estimates nearby and if they can cater for a party of 100 people. After looking over the options the Board decided in favour of MELITON in Altea La Vella. This was due to the Menu Offered and proximity of the Venue. The meal is a good one and includes ½ bottle wine and a 3 course meal, the cost is 30euros. This is a 5euro increase on last year’s prices but which may well have occurred at Don Cayo anyway. WF asked MK to organise the music this year and he said if there was no alternative he would do it. JS said he knew of a performer who may be able to play at the party and was very good – JS to approach for availability. Invitations will go out next week once Meliton has confirmed. MK will organise Tables and Door Entries with JS and RK. Age entry was 16 and Upwards There being no other business the meeting closed at 02.25.
