MINUTES OF DIRECTORS MEETING. Meeting held on MONDAY 25th JUNE – 12.00 PM at MELITON RESTAURANT – ALTEA LA VELLA Present: Wolfgang Fischer (President), Antonio Perez Albiñana (Vice President ES), Richard Kent (Treasurer), Matthew King (Secretary), Terry Miles (Web coordinator), Annetta Eberhardt (NHW coordinator), John Schimell, James Standen, Javier Gomez Devisa, Apologies for absence : Emil Apeldoorn, Willem Van Oorde, 1). The Minutes of meeting held 18/05/2018 were approved. 2. Treasurers Report. RK reported that Paco Alcarez was to keep his fees the same per box but MK supported by AP was under the opinion that he said he would look at the fees but as there had been no rise for 15 years and there was “administration” work that had to still be carried out then the fees would stay the same. RK to establish this with Paco Alcaraz. 3. Secretary’s Report. MK reported that there are currently 268 members on the current list – It has still been impossible to contact some people – no email address or phone number. WF presented MK with an application for membership with only a phone number and Buzon as communication. It was decided to let them join as they were in their 90’s and this was the reason why. MK advised WF that the new requirement by the Correos is that we have full Information for everyone joining the Buzons from now. MK continues to pass on the email addresses to Kees Hilgers in Urlisa 1 and II that he receives from outside the area Sierra Altea 1 area. 4. Vecinos Website. TM has had some major problems due to the fact that the website is “FULL” – There is no more space to write down anything. AF suggested that a “dropbox” system be used on the site for say “photos” but TM said that this was “almost impossible” given the way the site id “written”. Only way forward was to re-structure and re-write the site and TM would start doing it but it would take “some-time“ - 2-300 hours. TM to carry out this work over the next weeks. 5. NHW update. AF told the Board that there had been an increase in attempted burglaries last week 2 attempted and 1 where the Burglars entered the premises and stole Jewellery Cameras and Lap tops – There was also considerable damage to the property – this was in the Urlisa Area. NHW are still awaiting street signs that will be installed OVER the old signs in Catalan, Valenciano, English and German. It is hoped they will be her before Christmas.. 6. Other business. 1). POST BOXES. MK reported that the Locks have now been purchased and are safely stored in his house. The Key Tags have been purchased from Amazon for 70.00Euros for 600 Tags – these are being numbered and processed by MK. TM has sourced a front of box number tag for the outside of the boxes – with just “numbers on”. WF had also sourced an engraved label with the full address on which looked very nice but the board felt that the whole point of having just numbers was to hide the address of the property. This was unanimously agreed and the option of the Numbers only was voted for. These tags will be approximately 150Euros to buy and be large enough to drill two holes in to then be riveted into the front door. Roughly a 2 week lead time. MK explained that the Individual Lock Boxes would be numbered and both keys from each box would be put into 2 separate envelopes. 1 envelope would be for the Buzon Owner and the other key to be held in a 300 key holder by Paco Alcarez. While we are replacing the locks at the buzons (it was decided that Fiesta time would be the best week 21st - 24th September) Owners could come along – Hand over their old keys and pick up the new ones, paying the one off fee when receiving the new key, for the change of lock. The Money could be held in an envelope and paid into the night safe of the Bank into the Associations Account on a daily basis. NB. IMPORTANT. We have been working on a charge of 25Euros per Box Owner but we have been allowing for 300 owners because there are 300 lock changes. However, That is NOT the case – there are only 180 members which will bring the cost of the locks to around 25Euros on their own – I believe the true cost per box will be nearer to 30 Euros per person. MK to prepare a letter to a) Those in the Association regarding the change and b) Those “leaving the Buzons” after September 21st. 2). The meeting with Maria Lavios was again canceled as she had no information to report at this time a new meeting is scheduled for either the 27th June or 4th July 2018. 3). Summer Party. MK has received 104 acceptances to the Summer Party and 98 declines leaving approximately 70 people who have not responded even after 2 letters being sent to them. WF is to speak to and reserve the dinner with Meliton. MK has all the sheets and fish and meat numbers ready for MELITON and these will be confirmed on Friday Lunchtime 29th June. JS has confirmed the performer and his “dance floor” was discussed and agreed today after the meeting. The Meal is to be held outside (anti mosquito lotion a must) with the dance floor inside Meliton. In case of rain the meal will be held inside however this will mean that “The Association” will be “split up”. It was decided that there should be only 1 entry at the dinner and that guests would be asked to come around the Front of the restaurant and not through the back in order to “check in” and receive their cava reception. MK has sent all the Invitations but was disappointed by the number of people who still had not replied at all. 4). Instancias The hole has been “filled” in Calle Agret and the Mirrors on the wrong side of the road are to be brought up again by WF. PLEASE KEEP CLEAR THE DATE OF THE 22ND NOVEMBER 2018 FOR THE AGM.
