The Meeting took place at Meliton in Altea la Vella at 11.30 attended by the members of the committee of the Asociación: Annette Eberhardt (interim president), Richard Kent, Anne Vanderborne, Wolfgang Fischer, Toni Canet, Willem van Oorde. Apologies for absence: Francisco Jerry Gomis, Boudewijn Overduin, Ismael Fernandez Garcia. Terry Miles (webmaster) was invited to join the meeting at 12.45. to give update on any website issues. The meeting was conducted in English. 1. Minutes of Meeting of 5th October 2020 were approved 2. Treasurer’s Report: There were 18 unpaid accounts for the buzones. In the meantime 2 were since paid. The balance of 16 will receive letters. If still no response, the locks will be changed. 4 locks have been changed in the last 2 years. There are 130 available post boxes at this time. In addition, there are about 70 complete lock units which were recovered/retained from the time of the changeover of the system. 3 to 4 of these left-over units have been used since the change of system, in order to change existing locks. The number of available lock units and empty post boxes means that there will be no shortage of supply for the foreseeable future. 3. Secretary’s Report: The President, Annette, represented the secretary at the meeting. There were three new members since the last meeting. Three notifications of new members were received by Mel, the secretary, and ultimately by Anne, who sent out welcome mails. An action point is for Mel to send them directly to Anne in future. The number of members reported had sadly been reduced by 2, on account of two recent deaths, mamely John Shimmel (ex committee member) and his mother-in-law. 4. Neighbourhood Watch and website. Nothing to report regarding NHW, other than to note that the normal, regular, planned meetings with the Guardia Civil and Policia Local have had to be put on ice as a consequence of Covid. Also not possible to hold on-line meetings with them as we are excluded from their on-line networks. With regard to the website, it was reported that there have been some technical issues associated with registering new members on-line. This issue was was discussed with Terry upon his arrival at the meeting and has subsequently been solved in the days following the meeting. Prior to addressing the issue with Terry, Annette, on behalf of the whole committee, thanked Terry for his consistently excellent and selfless work - uploading new material on request, and ensuring its smooth operation. The subject of website content was raised - namely there is seemingly much content that is either no longer relevant, out of date, or duplication. Terry happy to effect changes, but requires explicit instructions from the committee to do so. Wolfgang agreed to “clean” the website on this one occasion. It was necessary, however, to find a more permanent solution 5. Instancias: Wolfgang noted one new potential instancia – namely a crack in a wall on Calle Jasmin, that could lead to the wall collapsing; The owner of the wall has been permanently absent and the Ayuntamiento will need to address this issue directly with the owner. Terry Miles took the opportunity, after delivering his update on website issues, to request the raising of an instancia in respect of a potentially dangerous area opposite his house entrance, resulting from construction work - namely the pavement was unusable for pedestrians. Wolfgang agreed to note it. 6. Other points: a) Neighbourhood cats In progress - Annettte and Lisa Andretti and the vets are active, and financial terms have been agreed. It was discussed, and agreed to approach the Ayuntamiento, since it would seem reasonable that they also made a financial contribution to solving the issue. b) AGM: It was noted that hitherto there had been no response to the email action, notifying all members of the decision to postpone the AGM and to solicit new board members. It had been brought to the attention of the committee that a number of members may not have received the mail. Therefore it was a agreed to send a follow up mail to all members (to include an extended time limit for responding to the invitation to propose new committee members). It was further agreed that a copy of this follow up mail be posted on the Vecinos notice board (buzones). c) Apparent discontent amongst a number of members of the Association: It had been brought to the attention of the committee - by both Bouderwijn (responsible for Newsletters and currently absent form committee meetings for health reasons) and by Terry (webmaster) and also via a What’sApp group of “concerned” Vecinos - that a number of Vecinos were dissatisfied with the current performance of the Committee, the underlying complaint being lack of information being provided on a regular basis. The What’sApp group has around 60 members; it is not known how many are active participants. In any event, the committee are aware that there are concerns, and are committed to address the issue of the lack of regular information sharing. It was acknowledged also, that one of the perceived weaknesses in the process of information sharing was the absence on news letters, both by direct mail and via the vecinos notice board (buzones). It was agreed that the committee should aim to publish 6 newsletters per year - delivery via direct email and, simultaneously, to be posted on the notice board. 7.)
